RMRYLA Board of Directors:

This is a proposal to acquire a professional grade sound system to be used by RYLA and YRYLA at future conferences.  In the past, sound equipment has been either rented or piecemealed from donated and loaned components.  This has been expensive in the case of rental and unreliable in the case of loosely assembled components.

OBJECTIVES

·       Deliver a quality sound and video experience to conferees that is in keeping with the very high standards established for all RYLA functions.  I propose that RMRYLA acquire a professional grade sound system with the capability and ruggedness to serve the needs of summer conferences for many years to come.

·       Return savings as well as provide a possible source of income.

CONSIDERATIONS

1.      The equipment must be capable of providing multiple inputs, provide output to at least four speakers with sufficient volume for the RYLA venues, be capable of special effects, and be portable and rugged enough to withstand transportation to RYLA camps and other possible events.

1.      In order to provide a good return on investment the cost should be no more than four times the cost of annual rental fees that have been paid in the past.

2.      Acquire the equipment from an area business in order to support the local economy if cost is competitive with out of area or online sources.

CONFIGURATIONS

The two basic configurations of sound equipment that fulfill the needs are:

·        Mixer board combined with powered speakers

·        Powered mixer/amplifier combined with non-powered speakers

My recommendation is that we acquire a powered mixer/amplifier and non-powered speakers.  This configuration will provide the greatest flexibility and the allow integration of existing RYLA owned sound components.

PROPOSED EQUIPMENT

Although many brands and models are available, the following items meet our requirements and are available at the Guitar Center in Lone Tree, Colorado whose staff kindly assembled and explained the capabilities to me.

I have researched these components with the assistance of Dan Holland and believe that they are of the quality and capability needed.

Equipment list and cost from local Guitar Center store.

Cost comparisons with other vendors are provided on the attachment.
