Registrar’s Report

January, 2012

Dates and Numbers

We had 118 applicants for JC positions, and due to the huge influx needed, I only sent the “sorry” letter to 60 of them. Almost 50% were selected as JC’s or alternates – a great year to apply to be a JC!

Emily O’Boyle, who has become quite the expert at this, marked their statuses on the web site, which drives all sorts of processes from here. Marc Solnet went in and tweaked the 2nd year JC’s to get them in the list (one of the many registration procedures, and Marc is stepping in to help enormously).

Feb 15: I open up registration for RYLA and Young RYLA.

Feb 28: Deadline for clubs to request slots via the web site.

March 15: Deadline to receive payments for those slots.

Registration Volunteers

I asked for many assistants, and many assistants are popping up!

The biggest job: applicant paperwork reviewing and re-working.

We have 2 JC’s ready to go (Ian Tuttle and Mengyuan Yu), and the 3rd is pondering it. Jan Keyton will also assist in this area, which will be huge – 4,000 faxed pages to deal with!

Marc Solnet is assisting with the database, web site and all technical aspects of registration.

Abby Solnet will be continually reminding our 100-odd counselors to complete the Abuse-Harassment background check permission form.

Wayne Markel will coordinate drivers from western Wyoming, assist the JC’s calling applicants in the 2 weeks before each RYLA, and track down drivers for conferees who we discover at the last minute have no ride home.

We can still use other volunteers!

Manage the Vitals page, manage the RYLA Board documents on the web, shrink huge uploaded photos, update the generic gmails, load photos and videos into RYLA.us, set up iPads with paperwork, track down Reps with failed e-mail addresses, manage SC applicants, etc.

Main Items

Decided: both Young RYLA’s will be handled by a single “event” on the web site. The developer, Steve Goodwin, is adding a small enhancement to help this arrangement work. Reps will have just one place to look for their applicants regardless of which date the applicants chose.

With Marc’s help, we’re moving more of registration to the web to move away from one person being the only one who knows how to do everything!

New ISP, so I have the mass e-mail capability back, so the 214 Reps will again be receiving their occasional e-mails.

Respectfully submitted,

Dave Amen
